Primary Purpose:

Under moderate supervision, coordinate the collection and reporting of district Public Information Management System (PEIMS) data.

Qualifications:

Education/Certification:

Bachelor’s degree in business or computer science in education from accredited university.

Master’s degree preferred.

 

Special Knowledge/Skills:

Ability to maintain accurate and auditable records.

Ability to use personal computer and software to develop spreadsheets, perform data analysis, and do word processing.

Proficient in keyboarding, 10-key numerical data entry, and file maintenance skills.

Ability to perform basic math.

Ability to meet established deadlines.

Strong organizational, communication, and interpersonal skills.

Ability to understand detailed written or oral instructions.

 

Experience:

____3 years of experience in school district administrative support position requiring collecting and entering data; experience using coding systems.

Preferred experience with Texas Student Data System, (TSDS) and PEIMS data in school district support position.

Major Responsibilities and Duties:

Records and Reports

  1. Coordinate the collection, integration, and formatting of all data required for PEIMS submission according to Texas Education Agency PEIMS Data Standards.
  2. Work cooperatively with campus, business office, and personnel office staff to collect, organize, and format data required to submit district PEIMS data according to prescribed state deadlines.
  3. Run, edit, reports, and verification checks on data to ensure accuracy of information. Distribute edits and reports to appropriate staff for analysis, verification, and correction.
  4. Submit complete and accurate PEIMS data in Texas Education Agency (TEA)-prescribed format to education service center (ESC) for processing using computer terminal or personal computer.
  5. Verify data submitted to TEA and submit corrections in a timely manner.
  6. Collect and enter attendance and PEIMS data into established database and verify accuracy according to prescribed procedures.
  7. Maintain student records and process request for student information and transcripts. Process new student records, including requesting transcripts and records from other schools.
  8. Assist faculty with questions regarding student attendance.
  9. Report attendance problems to designated administrator.
  10. Compile, maintain, file, and distribute all reports, records, and other documents as required following established procedures.

District Attendance Coordinator

  1. Provide input into annual creation of policies and documents regarding student attendance.
  2. Oversee staff education and implantation of attendance policies.
  3. Oversee maintenance of school attendance records and data.
  4. Handle attendance related referrals when procedures determine referral to an administrator,
  5. Contact parents of students with attendance problems
  6. Work closely with teachers, nurses, guidance counselors, and principals regarding students who are absent or tardy too frequently and who have not responded to the corrective efforts made by the building principal.
  7. Make final determination of “excused” or “unexcused” absence.
  8. Confirm 10-dy drops as per state law.
  9. Oversee staff assigned to attendance duty.

Training and Technical Support

  1. Provide training and support to campuses and to business and personnel office staff responsible for processing PEIMS.
  2. Receive PEIMS-related information for ESC and TEA, attend all regional PEIMS workshops, and disseminate information to other staff in a timely manner, including updates to PEIMS DATA Standards.
